1) Scope of this policy
This policy explains how we collect, use, disclose, store and protect personal information when you visit our website. It mainly covers the Careers page, where candidates can submit their name, contact details and CV via a form stored in our website backend (WordPress). It also explains how to access or correct your information and how to make a privacy complaint.
2) The information we collect
- From job candidates (careers form): name, email address, phone number, resume/CV and any information you include in your application.
- Website diagnostics: We may collect basic technical information (e.g., IP address, device/browser type) generated by our web server and security tools to keep the site secure and reliable.
Sensitive information: Please avoid including sensitive information in your CV unless relevant to the role (e.g., professional accreditations). If you choose to include sensitive information, we will handle it with extra care consistent with the Australian Privacy Principles (APP).
3) How we collect information
- Directly from you when you submit information via the Careers pages.
- Automatically via our website host/security service (e.g., logs) to protect the site and diagnose issues.
4) Why we collect and how we use information (purposes)
We use your information to:
- Manage recruitment: assess your application, contact you about your candidacy, arrange interviews and conduct reference checks (where applicable).
- Operate and secure our website: maintain hosting, security and performance.
We do not use Careers submissions for direct marketing.
5) Disclosure of your information
We may disclose personal information to:
- Service providers that support our website and recruitment process (e.g., website host, WordPress plugins processing file uploads, email and IT support). We require them to protect personal information and only use it for our purposes.
- Referees you nominate, where relevant to your application.
- Regulators or law enforcement if required by law.
6) Hosting and data storage
Our website and its backend systems (including Careers form submissions) are hosted on Amazon Web Services (AWS) EC2 located in the ap‑southeast‑2 (Sydney) region, meaning your personal information is stored within Australia. AWS provides infrastructure‑level security, and we apply additional access controls within our website backend to protect your information.
Cross‑border disclosures
We do not intentionally transfer personal information overseas. If, in future, we use any tools or services that store or process data outside Australia, we will take reasonable steps to ensure those recipients comply with the Australian Privacy Principles before any transfer occurs.
7) Storage and retention
We retain candidate information for up to two years from the date of submission, unless you request earlier deletion or consent to a longer retention period (e.g., to be considered for future opportunities). You can contact us to update your preferences at careers@sentinelboats.au. After this period, we will securely delete or de‑identify your information unless required by law to retain it for longer.
8) Access and correction
You can request access to the personal information we hold about you or ask us to correct it if it’s inaccurate, out‑of‑date, incomplete, irrelevant or misleading. Contact us at careers@sentinelboats.au. We’ll respond within a reasonable time and in accordance with the APPs.
9) Your choices
Where it’s practical, you may interact with us anonymously or using a pseudonym (for general website browsing or enquiries). For recruitment, we need your identity and contact details to process your application.
10) Cookies and analytics
Our informational site uses only minimal cookies necessary for secure operation and performance. If we add analytics or marketing pixels in the future, we will update this policy and provide clear information about what is collected and why.
11) Data breaches
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures typically include access controls, role‑based permissions in WordPress, secure transmission (HTTPS), and server‑level protections provided by our host.
If a data breach occurs that is likely to cause serious harm, and we are subject to the Privacy Act, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.
12) Complaints
If you have a privacy concern, please contact us first. We’ll investigate and respond. If you’re not satisfied, you can contact the OAIC.
13) Changes to this policy
We may update this policy from time to time to reflect changes to our practices, legal requirements, or services. The latest version will always be available on this page.
